The Game Change Project Terms and Conditions:
1. Purpose:
These Terms and Conditions govern the participation of youth in The Game Change Project programmes. The programmes aim to provide confidence, resilience, wellbeing, vocational and skill-development opportunities.
2. Eligibility and Enrolment:
Participants must be 13 – 18 years old.
A completed registration form and signed consent form are required for participation. Participation may be subject to availability and program capacity.
3. Code of Conduct:
Participants are expected to be respectful of staff, other participants, and property. Bullying, harassment, or any form of disrespectful behaviour will not be tolerated. You should: cooperate with others, be friendly, listen to others and follow instructions, always ask for help if you have not understood instructions or do not feel confident to complete a task safely, take responsibility for your own behaviour, talk to a member of staff about anything that worries or concerns you, follow this code of behaviour and other rules (including the law)
Anyone found smoking, vaping or in possession of drugs or alcohol will be excluded from the programmes and arrangements made for them to be taken home immediately.
Mobile phones are handed in to staff at start of session and returned before going home. Staff can be contacted in an emergency. If a participant leaves the property without permission, parents, schools and other relevant authorities such as police and social services will be notified within 10 minutes.
4. Child protection procedures
If any member of staff or volunteer becomes concerned that your behaviour suggests you may be at risk of significant harm or that you may present a risk of significant harm to others, they will follow child protection procedures. This may involve making a referral to the local authority children’s social care department.
If child protection procedures are necessary, we will talk this through with you and your parents as soon as possible, unless doing so would endanger your safety or interfere with a police investigation.
5. The role of parents and carers
We see parents and carers as valuable partners in promoting positive behaviour and will involve them as appropriate. We will always inform and involve your parents or carers if you receive a formal warning for inappropriate behaviour.
6. Safety and Supervision:
Participants must follow safety instructions provided by program staff. Repeated failure to listen to instructions may result in dismissal from programme.
Supervision will be provided during program activities.
Participants must wear appropriate clothing. PPE will be provided.
Participants are responsible for their own safety and well-being.
7. Liability:
The program organisers are not liable for injuries or accidents that occur during the program. Participants and their guardians acknowledge the inherent risks associated with program activities.
Program organisers are not liable for lost or stolen items.
8. Program Activities and Schedule:
The program schedule may be subject to change, but participants will be notified in advance. Participants are expected to attend all scheduled activities unless excused by program staff.
9. Communication:
Regular communication with participants and guardians will be provided through the spond app, email, phone, website.
Participants are responsible for keeping program staff informed of any changes to their contact information.
10. Withdrawal:
Participants may withdraw from the programme giving a minimum 2 weeks’ notice period before allocated start date.
Programme fees are payable NO LATER than 2 weeks prior to allocated start date. If payment is not received in full, 2 weeks prior to course commencement, the place will be cancelled and reallocated to another participant. No refunds will be given (this includes if participants miss any sessions)
11. Attendance:
It is parent’s or participant’s responsibility to let us know by phone if they are going to be absent. If they are registered with school, please also let school know. Please phone by 8.45am at the latest on morning of absence. Please note that the Spond app is NOT to be used to report absence.
Please be honest about reason for absence. If a participant is anxious about attending, has difficulty getting up in time or simply didn’t enjoy the previous session and no longer wants to attend, please let us know so that we can allocate the place to a child who is ready to commit to attending weekly.
We realise that sometimes there is a genuine reason for absence and accept this, however, if your child misses 2 consecutive sessions without a genuine reason, they may be removed from the programme.
12. Governing Law:
These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales.
13. Modifications:
The program organisers reserve the right to modify these Terms and Conditions at any time.
